At CenterPro, your privacy matters. As a tax and accounting firm, we handle some of the most sensitive information you have, and protecting it is part of our job. This policy explains what we collect, why we collect it, how we protect it, and what your rights are. We've written it in plain language so it's easy to understand.

If you have questions at any point, you can reach us at info@cproea.com.

3. How We Collect Your Information

We collect information in the following ways:

  • Contact and booking forms on our website (www.cproea.com)

  • Email correspondence at info@cproea.com

  • Phone or in-person meetings with our team

  • Client intake forms and questionnaires shared digitally or in person

  • Documents you provide directly, such as tax returns, bank statements, or payroll reports

  • Account registration if you create a profile in our Members Area

  • Newsletter sign-ups and blog comments on our website

  • Third-party tools we use to run our practice, including tax software, bookkeeping platforms, payment processors, and scheduling tools (see Sections 6 and 7)

4. Why We Collect Your Information

We use your information to:

  • Provide the accounting, tax, bookkeeping, payroll, and business management services you've hired us for

  • Prepare and file tax returns with the IRS, California Franchise Tax Board (FTB), and other tax agencies on your behalf

  • Communicate with you about your account, deadlines, documents, and any issues that come up

  • Schedule consultations and manage appointments

  • Process payments for our services or products

  • Send you relevant updates, reminders, or information — marketing emails only if you've opted in

  • Comply with legal, regulatory, and professional obligations

We do not sell your information, and we do not use it to market on behalf of third parties — ever.

5. Special Handling of Your Tax and Financial Information

As a tax and accounting firm, we're held to a higher standard than most businesses when it comes to protecting your information.

We are treated as a "financial institution" under the federal Gramm-Leach-Bliley Act (GLBA), and we follow the privacy and security standards that apply to tax and accounting professionals, including the FTC Safeguards Rule and IRS guidelines for safeguarding taxpayer data.

In addition, your tax return information is protected under Internal Revenue Code Section 7216. This law strictly limits how a tax preparer can use or share the information you provide for your tax returns. We will not use or disclose your tax return information for any purpose other than preparing and filing your returns, unless:

  • You give us your written consent, in the specific form required by law; or

  • We are permitted or required to disclose it by law (for example, to the IRS or in response to a valid court order).

If we ever need to use or share your tax information for a purpose outside of preparing your return — for example, to help you apply for a loan or to refer you to another professional — we will ask you to sign a separate written consent form first. You are never obligated to sign, and choosing not to won't affect the tax services we provide you.

6. Who We Share Your Information With

We treat your information as confidential. We only share it in the following situations:

  • Tax agencies and government bodies — such as the IRS, California FTB, or other state and local agencies, when required to file returns, respond to notices, or represent you

  • With your written consent — if you ask us to communicate or share records with a lender, attorney, or another party on your behalf

  • Service providers — third-party tools we use to operate our practice, such as tax preparation software, cloud storage, payment processors, and scheduling platforms. This includes Wix, which hosts our website and processes data submitted through it. These providers are bound by their own privacy and security obligations and are not authorized to use your data for their own purposes

  • As required by law — if we're legally required to disclose information by a court order, subpoena, or applicable regulation

We do not sell, rent, or trade your personal information to anyone.

7. Online Payments

If you pay for our services or products online — for example, through an invoice, a booking deposit, or our online store — your payment is handled by a secure, third-party payment processor.

We do not collect or store your full credit card or bank account numbers on our own systems. That information goes directly to the payment processor, which is required to follow industry security standards (PCI-DSS) for handling card data. We only receive the details we need for our records, such as your name, the amount paid, and the date.

8. Email Communications and Marketing

When you become a client or sign up through our website, we may send you:

  • Service-related messages — such as appointment reminders, document requests, and deadline notices

  • Optional updates — such as our newsletter, tax tips, or firm announcements, but only if you've chosen to receive them

You can opt out of marketing or newsletter emails at any time by clicking the "unsubscribe" link in any of those emails, or by emailing us at info@cproea.com. Even if you opt out of marketing emails, we may still send you essential messages related to the services we're actively providing you.

If our blog allows comments, anything you post (such as your name and the content of your comment) may be visible to other visitors. Please don't share sensitive personal or financial information in blog comments.

9. How Long We Keep Your Data

We retain client records for as long as required by professional and legal standards. As a general rule:

  • Tax records: Kept for a minimum of 7 years, consistent with IRS audit periods and California requirements

  • Payroll records: Kept for at least 4 years, per federal and California requirements

  • General business and financial records: Kept for 7 years or as long as the client relationship is active, whichever is longer

  • Website form submissions and inquiries: Kept for a reasonable period to handle your request, then deleted

When records are no longer needed, we dispose of them securely.

10. How We Protect Your Information

We take reasonable steps to protect your personal and financial information from unauthorized access, disclosure, or misuse. Consistent with the FTC Safeguards Rule and IRS guidance for tax professionals, our practices include:

  • Secure, encrypted email and file transfer when sharing sensitive documents

  • Password-protected systems and devices

  • Limited access — only staff who need your information to perform services have access to it

  • Professional-grade tax and accounting software with built-in security controls

  • Physical security for any paper records kept at our office

No method of transmission over the internet is 100% secure. While we use strong, industry-standard protections, we cannot guarantee absolute security. If you have concerns about sharing sensitive documents digitally, please contact us to discuss secure alternatives.

11. In the Event of a Data Breach

We work hard to prevent unauthorized access to your information. If a data breach ever occurs that affects your personal information, we will notify you and any required authorities as promptly as possible, in line with California law and our professional obligations.

12. Your Rights Under California Law (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) gives you specific rights regarding your personal information.

You have the right to:

  • Know what personal information we collect about you and how it's used

  • Access a copy of the personal information we hold about you

  • Delete your personal information, subject to certain exceptions (for example, we may need to retain records required by law or professional standards)

  • Correct inaccurate personal information

  • Opt out of the sale of your personal information — though we want to be clear: we do not sell personal information, so this right is not currently applicable

You may also designate an authorized agent to make a request on your behalf. To protect your privacy, we will take reasonable steps to verify your identity before responding to any request.

To exercise any of these rights, contact us at: Email: info@cproea.com Phone: (424) 525-9394

We will respond to verified requests within 45 days as required by law. We will not discriminate against you for exercising your privacy rights.

13. Cookies, Analytics, and Do Not Track

Our website (www.cproea.com) is built on Wix and may use cookies and similar technologies to:

  • Keep the site functioning properly

  • Understand how visitors use the site (pages viewed, time on site, traffic sources)

  • Improve the user experience

We use basic analytics tools (such as Wix Analytics or Google Analytics) to understand general traffic patterns. This data is anonymized and is not used to identify individual visitors. We do not use cookies to track you across other websites or to build advertising profiles.

You can control cookie settings through your browser preferences. Disabling cookies may affect how some parts of the site function.

Do Not Track: Some browsers let you send a "Do Not Track" (DNT) signal. Because there is no industry-standard way to interpret these signals yet, our website does not currently respond to them. We limit ourselves to the basic, privacy-respecting analytics described above.

14. Third-Party Links

Our website may contain links to other websites, such as the IRS, California FTB, or other professional resources. Once you leave our site, this Privacy Policy no longer applies. We encourage you to review the privacy policies of any third-party sites you visit.

15. Children's Privacy

Our services are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has submitted information through our website, please contact us and we will delete it promptly.

16. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we'll update the "Last Updated" date at the top of this page. For significant changes, we may notify active clients directly. We encourage you to review this page periodically.
